Responsibilities:

  • Ensures the smooth operation of the clinical physicians’ practice. Ensures all necessary referrals, approval and registrations are obtained. Informs patients of registration process and payment responsibilities. Coordinates patient care activities: answers and carefully screens phone calls to determine patients’ needs; greets patients upon arrival; obtain new patients registration forms from the account administrator and obtain medical record number, updates patient information as necessary; schedules appointments and arranges for all hospital admissions; schedules laboratory tests, x-rays, CT scans, blood tests, transfusions, chemotherapy treatments, etc. Initiates, maintains and updates medical records for patients.
  • Ensures that all orders and admission papers are complete for admitting patients, prescriptions are submitted for chemotherapy and other infusions orders are written and received by the chemotherapy nurses prior to treatments. Schedules follow-up appointments and other tests as necessary.
  • Responsible for all dictation relating to patient care activities in the group. Type memos, patient notes, letters, and various other patients related documentation. Reviews, edits, types, and maintains files on all documents.
  • Assists other secretaries and office staff when necessary, provides lunch coverage.
  • Prepares patients charts prior to their appointments; print billing face sheets for physician and get necessary approval numbers; ensures that the appropriate face sheets are in the charts; review charts to make sure that the necessary tests results and other relevant information is present; contacts the necessary areas to obtain missing information. Performs other related duties as assigned.
