Records Specialists

View documents in Laserfiche to make sure they are viewable for the licensure units, separate confidential documents from application documents. Scan documents into Laserfiche. Receive documents in batches with the units names on the tracking sheets, then I will look up each document and put there file number and if there’s an application open I would put the application number. This helps me with the process of printing out separator pages. Some applications don\'t require and fee with them I would open an application for them. If this happens I would always write NA (New Application) on the document so the Quality Control staff would know to put that in Laserfiche. If there are documents that need to be forwarded to the units, filed offices, or the legal department, I would take them out of my batch and send them to the Licensure units in an interoffice envelope. If the supervisor has to be away she would ask me to distribute the work out to the other employees.

View documents in Laserfiche to make sure they are viewable for the licensure units, separate confidential documents from application documents. Scan documents, and making sure they are in the correct file path before releasing them and giving the documents to the Quality Control staff to view in Laserfiche. I would also assist with quality control of the checks that the fee processors scanned in to make sure they were clear enough for the finance and accounting could read the routing and check number. This would usually take place at the end of the fiscal period. I would stand in as supervisor for my boss when they would have meetings at other state agencies when we were going to start a new process in Central Intake Unit. I would have to make sure all staff was there and if someone had to leave for an emergency they would have to email me and our supervisor before they would leave. If there was an issue with documents I would help with trying to make corrections to documents in Laserfiche or with scanning. When my supervisor comes back I would let her know of any issues that came up while she was away. If she had to leave early for the day and time had to be submitted I would have to remind everybody to submit their timesheet.
