Project Description – This is totally integrated solution between lubricant supplier BP and its buyer JFLA. There is integration for purchase order, change order and invoices. When an electronic Purchase Order is sent from JFLA, it will be received and processed by BP immediately. The BP middleware, Enabler, will hold the PO and check availability of the product within JD Edwards and then the middleware will generate a POA based on the results from JD Edwards. BP will either ‘Accept’, ‘AcceptWithChange’ or ‘Reject’ purchase orders based on various business rules. Accepted orders will be immediately returned to Defence and loaded into JFLA DB, while ‘AcceptWithChange’ or ‘Rejected’ orders will trigger an email notification sent to the purchasing officer as well as loading into JFLA DB. BP will always provide an explanation in the POA comments field for ‘AcceptWithChange’ or ‘Rejected’ statuses which will appear on the email notification sent to the purchasing officer. POC messages will also be integrated to the BP middleware and not sent via email for processing and therefore JFLA must flag all amended orders to be sent to BP following an ‘AcceptWithChange’ or ‘Rejected’ status. BP will not process amendments without being flagged by Defence or are not in response to a POA ‘AcceptWithChange’ or ‘Rejected’ status as they are seen as duplicates by BP. BP will response to the POC by sending another POA with either an ‘Accept’, ‘AcceptWithChange’ or ‘Reject’ status. The BP Invoice is triggered once the shipment is confirmed within JD Edwards. BP will generate and send electronic invoice on the same day to JFLA containing all the required Defence data. An email notification will be sent immediately to the purchasing officer indicating that an Invoice is to be loaded for a related PO. An over night batch job will load the invoice into JFLA DB and match it to the Purchase Order which will then await the receipt of goods before being triggered for payment.
